Making Requests: Interlibrary Loan is the borrowing and lending of materials between libraries. It provides access to materials held at libraries outside of the CCPLS. Anyone with a Campbell County Public Library, Lynchburg Public Library, or Bedford Public Library card that is in good standing with the library may request Interlibrary Loan (ILL) items from other libraries not in these systems. Making an ILL request is as simple as filling out the application at any CCPLS library or by submitting the form here:

Practices & Guidelines: Our policy is in accordance with the Interlibrary Loan Code for the United States. Interlibrary Loan Code for the United States | Reference & User Services Association (RUSA) (ala.org)  Patrons or borrowing libraries who persistently disregard policy, lending periods, or returns may be refused borrowing privileges.

Eligible Materials: Items not owned by CCPLS, BPLS, or LPL system; books; copies of newspaper or periodical articles (if available)

Not Eligible Materials: Items owned by CCPLS, BPLS, or LPL system; books published in the current calendar year (i.e. any item published within one year of the ILL request date); audio and visual materials (i.e. music CDs, DVDs, audiobooks); reference and genealogy material; items printed before 1800; eBooks; textbooks/classroom related items; materials needed in less than two weeks

 

Limits & Fees:

  • Due to the high volume of requests we receive, patrons are limited to 3 active requests at once.
  • The item is borrowed from a library not belonging to our system. Any damage to the item will be the patron’s financial responsibility.
  • There will be a $3 charge when the book arrives to offset the cost of return postage. This will need to be paid at the time of pickup of the ILL item.
  • The library will attempt to borrow requested materials for free for patrons. (i.e. we will pass over library selections that charge a fee for the borrowing of their book)
  • Overdue items will incur a $1 per day fee for each business day it is late.

 

Timeline:

  • ILL items usually arrive to the Rustburg Library within 2-5 weeks of the initial request. We do not process rush requests, nor can we guarantee how long it will take to receive an item.
    • *Note: if your request does not get a response from other libraries within 4 weeks, the ILL coordinator will reach out to you about other methods of obtaining your item.
    • *If an ILL item is no longer needed, a patron may cancel the request before the item is borrowed by CCPLS and avoid charges. If the cancellation comes after the item has been ordered and shipped, the patron must still pay the $3 postage offset regardless of their need for the item.
  • Upon arrival, ILL staff will place the item on hold for you and send it to your preferred pickup location. You will receive a notice that your item is available for pickup at your preferred branch, usually in the form of a telephone call or email (depending on your preferred method of contact). You will be able to pick up the ILL from the circulation desk at your preferred branch.
  • ILL items have a large pink label wrapped around the front of the item, which includes the ILL Due Date, the condition of the book, and the checkout information needed by library staff members. DO NOT REMOVE THIS LABEL!

  • Due dates on ILL materials are anywhere from 2-6 weeks from time of check-out. Branch staff will use the due date from the ILL label to check out to your account. Should you need a renewal, please be sure to reach out to the library well before your due date comes. Not all outside libraries will give renewals but the ILL coordinator will try to get the date extended for you.
  • To return your ILL item, simply bring it back to the branch you picked it up from. Note that the items MUST be returned inside of the library, at the front desk, during business hours; DO NOT return ILL items in book drops!

 

FAQ

  • How long will it take for the ILL item to arrive?
    • Items are usually received and processed within 2-5 weeks. The time may vary depending on the availability of the item, the location of the library willing to lend the item, and the way the item is shipped.
  • How will I be notified when the ILL item is ready to be picked up?
    • You will be notified by staff by the method you indicated when filling out your library card application (by email or telephone!).
  • Where do I pick up my ILL item?
    • ILL items must be picked up at the front circulation desk at the pick-up location you specify in the ILL application.
  • Is there a charge for Interlibrary Loan?
    • While we will attempt to borrow the item for free from other libraries, we do charge a $3 fee to help offset the cost of the return postage. This fee must be paid at the time of pickup.
  • How many requests can I submit at once?
    • Due to the high volume of requests we receive, patrons are limited to 3 active requests at once.
  • How long can I keep an item borrowed through Interlibrary Loan?
    • The due date is set by the lending library and will be written on the front of your ILL item. Should you need a renewal, please reach out to library staff. The lending library determines if they will allow renewals and ILL staff will make the request for you.
  • Why do I have to leave the pink slip on the books?
    • The pink slip has all the information needed for staff to identify the item and to correctly check the item in and out for you. It also provides you with the correct due date and the condition of the item as it arrived.
  • What if I keep the item overdue or lose it?
    • Overdue items will incur a $1 per day fee for each business day it is late. Beyond that, failure to return the item on time jeopardizes our future borrowing privileges as Interlibrary Loan depends upon the good will of other libraries. Replacement charges from lending libraries can range from $20 to $500 if the item is not currently in print. Failure to return items properly, on time, and in good condition may lead to a patron’s Interlibrary Loan privileges being revoked.
  • Where do I return ILL items?
    • To return your ILL item, simply bring it back to the branch you picked it up from. Note that the items MUST be returned inside of the library, at the front desk, during business hours; DO NOT return ILL items in book drops.
